Plain words, kept promises

Privacy Policy

The short version: we built this site to collect as little as possible — and for the most personal part, the SOUL Quiz, we collect nothing at all.

Effective date: July 26, 2026 · Applies to nurse-ai-os.org, currently operated by Robert Domondon as the individual founder and steward.

What we collect: almost nothing

Nurse AI OS is a static website. It has no user accounts, no login, no payment processing, no tracking pixels, and no analytics scripts of our own. We do not set cookies. We do not buy, sell, rent, or share personal information with anyone, for any reason.

One small, honest exception: the home page shows anonymous visit and download counters. When you load the home page or download certain PDFs, your browser sends a bare "add one" signal to a counter service — no name, no identifier, no cookie, nothing about you. We use your browser's session storage for a single flag so a page refresh doesn't count you twice. If your browser or ad-blocker blocks the counter, everything still works; the numbers simply stay hidden.

The SOUL Quiz stays in your browser

The SOUL Quiz runs entirely on your device. Your answers are never transmitted to us or to anyone else — there is no server receiving them. When you finish, you download your files directly from your browser to your computer. Close the tab and the session is gone. We never see your answers, and we cannot recover them for you.

Setup Helper progress stays on your device

The deterministic Setup Helper uses your browser's local storage so you can pause and resume. It stores only the current step, selected setup door, general device and ownership categories, broad onboarding identity, post-setup lane, checked readiness items, and approved troubleshooting category. It does not collect a name, email address, patient narrative, credential, uploaded file, or free-text conversation.

This progress is not transmitted to Nurse AI OS or an AI provider. It remains in that browser on that device until you select “Clear local progress and restart” or clear the site's stored data in your browser settings. The helper still provides static guidance if local storage is unavailable, but resume may not work.

Switchboard configuration stays on your device

The Nurse AI OS Switchboard preview uses browser local storage to remember generic context labels, a selected role, compatible capability choices, declared assignment category, assignment window, local draft role titles, the active dashboard, and one non-sensitive marker recording that an older Setup Helper migration prompt was dismissed or completed. It does not verify a credential, appointment, enrollment, employment relationship, community mandate, or institutional authority.

The Switchboard accepts a short local draft role title, but it does not need a person's name, employer, school, patient, learner, workforce member, legal case, participant, or narrative. PHI, credentials, records, and confidential information are prohibited. The preview blocks some obvious identifier labels but cannot reliably detect every name, identifier, or sensitive detail; imported JSON is also untrusted until you review it. The configuration is not transmitted to Nurse AI OS or an AI provider. You may export it as JSON to your own device, import a JSON file you select, clear dashboards and local drafts from the page, or remove all Switchboard keys—including the migration-prompt marker—through your browser's stored-site-data controls. Anyone who can access your browser profile or exported JSON may be able to read it; browser-local storage is not a secure institutional vault.

Email you choose to send us

Buttons on this site open your own mail application with a pre-filled draft to robert@nurse-ai-os.org. Nothing is sent unless you press send. If you email us to join the community list, we keep your name, email address, and role solely to send you the newsletter and Lamp Huddle invitations. A human manages the list. You can unsubscribe at any time by replying with "unsubscribe," and we will delete your information. Never include patient information in any email to us — we will delete it and ask you to resend without it.

If you send an optional field note, we keep the email only to review the experience and reply. Sending it does not authorize quotation, attribution, public sharing, testimonial use, publication, or research use. We will ask for separate, specific consent before any such use. You may ask us to delete the field note at any time. Do not include patient, colleague, employer-confidential, identifying, credential, secret, or restricted information.

Third-party services on this site

A few things load from third parties, each governed by its own privacy policy: GitHub Pages hosts the site and, like all web hosts, keeps standard server logs (see GitHub's privacy statement); Google Fonts serves the typefaces; YouTube powers embedded videos on some pages, and YouTube may set cookies when you play one; Abacus (abacus.jasoncameron.dev) stores the anonymous visit/download counts described above — it receives only the "add one" signal. We link to external resources we run (our AI Mentor Library, our free course) and to tools we don't run (such as the official Hermes site) — once you leave nurse-ai-os.org, the destination's policies apply.

Data classes and patient privacy

This public site and its browser-local experiences are limited to D0/D1: public, synthetic, deidentified, or personal professional information that is appropriate for the selected AI provider and not confidential, regulated, or patient-identifying. This site is not designed, authorized, or secured to receive PHI. Browser forms and imported files cannot provide exhaustive sensitive-data detection, so never enter patient names, charts, screenshots, record identifiers, employer-confidential data, credentials, secrets, or identifying details.

D2–D4 data—including confidential organizational, regulated or highly sensitive data such as PHI, and restricted critical data—requires a separately authorized Institutional or Sovereign environment with explicit legal, privacy, security, retention, access, incident-response, and governance controls. No public webpage, download, provider setting, edition label, or purchase creates that eligibility.

Change record: July 26, 2026 adds the optional field-note email purpose, deletion right, prohibited-content boundary, and separate-consent requirement. July 25, 2026 added the Directive v1.1 D0–D4 boundary and clarified that the public site cannot create D2–D4 or PHI eligibility.

Children

This site is intended for nursing professionals and nursing students. It is not directed to children under 16, and we do not knowingly collect information from them.

Changes and contact

If this policy changes, we will update this page and the effective date above. Questions or deletion requests: robert@nurse-ai-os.org — a human reads every message.

One-line summary: we use no user accounts or analytics; SOUL Quiz answers, Setup Helper progress, and Switchboard configuration stay on your device; email is only something you choose to send.
